Office Manager

Job Type: Full time | Company: Chemonics International | Location: Tripoli, Libya | Date posted: 28-02-2014

Chemonics International, a top implementor of USAID projects, seeks qualified staff to join our team in implementing the Libyan Public Finance Management (PFM) III project. PFM III will work with Libyan government counterparts to improve budgeting, planning, and overall management of public finances to improve service delivery to Libyan citizens at a sub-national level.

The Office Manager will report to the Operations Manager. Project Management Unit (PMU) reserves the right to adjust the reporting and supervision relationships as needed during the course of the contract period.

Responsibilities:

  • Supervise office assistant and driver

  • Develops and maintains required administrative office systems

  • Prepares all necessary administrative forms for project related items

  • Support procurement of goods and services and ensure compliance with USAID and Chemonics regulations

  • Support recruitment processes

  • Manage inventory of project office equipment.

  • Oversee vehicle management and maintain maintenance logs, log sheets, and fuel usage reports.

  • Responsible for logistical management of project workshops or events.

  • Conduct day to day project office administration.

  • Oversees the purchase of office supplies and stationary.

  • Arranges for and oversees the maintenance of office equipment.

  • Maintains tracking systems, such as inventory, procurement, publications, action memos, and approvals.

  • Supervises the preparation and distribution of timesheets.

  • Supervises the maintenance of the project’s filing system.

Qualifications:

  • University graduate or equivalent additional related training preferred.

  • Minimum of 4 years experience managing a professional office environment.

  • Prior experience with the USAID’s funded projects is highly desirable.

  • Excellent English and Arabic written and verbal communication skills.

  • Proficient in computer programs, including Word, Excel, Outlook, and internet applications.

  • Self-motivated, creative and excellent communicator.

  • Ability to give clear instructions in a respectful manner to office staff.

  • Demonstrated experience ensuring multiple administrative tasks are followed-up to completion with high quality deliverables.

  • Willingness and capability to efficiently and effectively manage multiple taskers in a high volume operating environment.

 

Position is open for Libyan nationals only. Pay level will be negotiated on an individual basis.
