International Organization for Migration (IOM) an Inter-Governmental Organization is seeking applications for below position at Tripoli.

 

 Job Title:  Operations Assistant (one position).

 

Organizational context and Scope: Under the direct supervision of the Operations Officer and the overall supervision of the Senior Operations Officer, the incumbent will support the implementation of AVRR operations in compliance with IOM established procedures to ensure orderly and timely movements and reintegration of returnees in their countries of return.

 

Responsibilities and Accountabilities: 

  • Arrange meetings with embassies of third country nationals, community leaders and migrants to disseminate information on IOM returns programmers and their procedures. 

  • Arrange appointments with migrants to perform interviews collect the necessary pre-departure information and disseminate reintegration related information.

  • Assist in coordinating and monitoring work of the ad-hoc staff that performs migrants’ interviews using IOM standard AVR forms.

  • Keep track and properly ensure that the information collected in the interviews is correctly and accurately entered into IOM movement database.   

  • Verify migrant documents as necessary and confirm the validity of travel documents prior to Pro-Flights in Mimosa and flight bookings. 

  • Track travel documents expiration dates and make airline bookings/check schedules in AMADEUS as required. 

  • Communicate with relevant IOM offices and other counterparts (Local partners, DRC, IMC, UNHCR, LRC, ICRC, Embassies, and Consulates) about departure schedules, ground transportation of migrants between processing sites for the purpose of return activities. 

  • Follow up for timely assignment of medical and operational escorts to Pro-flights; make escort bookings and communicate the details to those concerned offices in accordance with the program requirements. 

  • Generate and timely distribute Advance Booking Notifications (ABNs) and exist Visa Waiver Requests and final departed-ABN.

  • Ensure that “ general status report” as well as all files related to operational activities are kept up to date

  • Keep updated Pro-flight file, ensuring that all necessary documents are requested and included in the file including exit permits, correspondence with airlines, receiving missions and other related parties.

  • Participate in discussions on procedures and practices to improve the efficiency of process delivery

  • Provide guidance and training to new/junior staff.

  • Perform such other duties as may be assigned

    Required Qualifications and Experience

  • Bachelor degree in Law, Political Science, International Relations, Humanitarian Assistance or a related field from an accredited academic institution;

  • Experience working with an international organization, UN agency or NGO would be desirable;

  • Experience liaising with government authorities, other national institutions and NGOs would be considered an advantage.

    Nationality: only open to Libyan nationals

     

    Type of Appointment: Special Short Term (Six months).
