Re-Opening HR Admin Assistant in Tripoli Sub-delegation

The International Committee of the Red Cross (ICRC), Libya Delegation is recruiting a Human Resources / Administrative Assistant  for its office in Tripoli. The HR admin assistant provides Human Resources secretarial and administrative support to the HR team, under the direct supervision of an HR Officer.

 

The position

 

The HR admin assistant actively contributes to creating and maintaining HR data and employees’ files up-to-date and provides support for the main HR processes (recruitment, contracts management, absence management, etc.), always in accordance with ICRC procedures and principles, policies and under supervision of senior HR staff members.

 

Main responsibilities are:

 

Collect, file and maintain employees’ records: Collects documents and maintains employees’ personnel files and HR databases up-to-date incl. INAS & TAX payment payments’ records.

 

Execute administrative and secretarial HR duties: 

 

§  Edit employment contracts upon instructions, update databases accordingly, schedules and follow up probation periods and contracts’ renewal.

§ 
Controls and follows up medical reimbursement, overtime and absence requests in line with ICRC policies.

§  Organize and supervise recruitment tests, and provide support to the HR Officer in charge of recruitment during the whole process

§  Collect, check and enter absence requests in the system

§  Prepare correspondence and documents for labour office, immigration office and tax office.

§  Prepares and translate general correspondences English to Arabic vice/versa.

§  Prepares and renew ICRC ID cards

 

Other Activities: Provide general secretarial support to the Head of Sub-delegation.

Liaise with senior management advisory group and radio room when visitors are expected

 

 

The profile, experience and skills required:

 

§  High school degree (or more)

§  2/3 years work experience in a similar function in a Human Resources department

§  Native Arabic with very good command of verbal and written English

§  Reliability, proactivity and ability to carry out tasks independently, while remaining flexible, truthfulness and accuracy in reporting to supervisors

§  Accuracy in collecting and managing data

§  Able to manage and maintain strict confidentiality

§  Service-oriented, with professional behavior and communication

§  Proven organizational skills, with strong sense of priorities and flexibility

§  Interest for HR and humanitarian activities (especially ICRC's).

§  Computer literate (MS Office, HR software)
